Scheduling and Dispatch

Keeping job scheduling and invoicing in the same system avoids double data entry and missed billing. Here's what to expect from BCTM on scheduling, customer notifications, and offline job-site use.

Can I schedule jobs and send invoices from the same app?

Yes — keeping job and customer records tied directly to invoicing means you can move from scheduling a job to billing for it without re-entering customer or job information.

Using separate tools for scheduling and invoicing typically means re-typing customer details, job addresses, and pricing twice. Keeping them in one system instead means:

  • Customer and job records are created once and reused for both scheduling and billing
  • Completed jobs can be converted directly into invoices without duplicate data entry
  • Payment status and job history live in one place, making it easier to see the full picture per customer

This matters most for solo and small-crew contractors who don't have the bandwidth to reconcile two separate systems.

BCTM keeps job records, crew assignments, scheduled start/end windows, and linked estimates or invoices together. Contractors see the company calendar and workers see assigned work in their own calendar; BCTM does not provide route optimization, crew routing, or a drag-and-drop dispatch board.

How do I let customers know I'm on my way?

Send a quick SMS message to the customer when you're heading to the job, letting them know your estimated arrival time.

A simple "on my way" text goes a long way toward customer satisfaction, especially for time-sensitive service calls. This can be as simple as a manual text, or automated if your software supports triggered messaging tied to a job's scheduled status.

Keeping this communication in the same system you use for invoicing also means the customer has one consistent channel — the same number or platform — for scheduling updates, invoices, and payment reminders, rather than juggling multiple contact methods.

BCTM's SMS messaging lets you send customers an "on my way" update from the same platform used for invoicing and reminders.

Can I use this software without internet on a job site?

Yes, for drafting — BCTM's offline progressive web app (PWA) lets you build invoices and estimates with no signal, syncing automatically once you're back online; note that capturing an actual payment still requires an internet connection.

Job sites, basements, and rural areas often have weak or no signal, which is a real obstacle for software that requires a live connection to do anything. BCTM addresses this specifically for the drafting side of the workflow:

  • Build an estimate or invoice fully offline, pulling from your saved price book
  • The draft is stored on your device and automatically syncs and sends once you're back in range
  • Payment capture is not available offline — collecting an actual card or ACH payment requires connectivity, since that goes through Stripe in real time

This distinction matters: you can prepare the paperwork with no signal, but you'll need a connection at some point to actually process the payment.

BCTM's offline PWA mode lets you draft invoices and estimates with no signal, and it queues time entries for sync after reconnecting. Offline payment capture is not supported — payments require an internet connection.
