Bookkeeping and QuickBooks

Invoicing software and full accounting software solve different problems, and knowing which one you actually need — or whether you need both — saves money and confusion. Here's how BCTM's reporting fits alongside tools like QuickBooks.

Does this invoicing app sync with QuickBooks?

BCTM does not currently offer a live, automatic QuickBooks sync; you can export your invoice and payment data and import it into QuickBooks or share it with your accountant manually.

BCTM is built specifically for contractor invoicing, estimating, and payments — not as a full accounting system, and it does not currently maintain a live, automatic integration with QuickBooks. If your accountant or bookkeeper works in QuickBooks, you can still get your data to them by exporting your invoices, payments, and reports and importing or sharing that export.

If a real-time QuickBooks sync is a hard requirement for your workflow today, evaluate whether BCTM's export-based workflow fits how your bookkeeper works before switching from a tool that already syncs automatically.

BCTM lets you export invoices, payments, and reports for your accountant, but does not currently offer a live, automatic QuickBooks sync.

Do I need QuickBooks if I already use invoicing software?

It depends on your bookkeeping complexity — dedicated invoicing software handles job-based billing and payments well, but full accounting software like QuickBooks is generally better suited for payroll, general ledger accounting, and complex tax filings.

Many small contractors use invoicing software for day-to-day billing in the field and export data periodically to a bookkeeper or accountant, who may use QuickBooks or similar for the deeper financial picture. Whether you need both depends on your business's complexity and whether you have an accountant handling the books separately.

BCTM handles job-based invoicing, estimates, and payments with reports built for field use; it is not a replacement for full accounting software if you need payroll or complex financial statements.

How do I export my invoices and payments for my accountant?

Use your invoicing software's export or reports feature to download your invoices, payments, and receipts as a CSV or spreadsheet file, then share it directly with your accountant or bookkeeper.

Most invoicing platforms support a straightforward export process:

  1. 1.Open the reports or export section of your invoicing software
  2. 2.Select the date range your accountant needs (monthly, quarterly, annual)
  3. 3.Export as CSV or a similar spreadsheet format
  4. 4.Share the file directly with your accountant, or import it into whatever accounting software they use

Running this export on a regular schedule (monthly or quarterly) rather than only at year-end keeps your accountant's data current and avoids a scramble at tax time.

BCTM lets you export your full invoice, payment, and receipt history as a CSV so you can hand it directly to your accountant or bookkeeper.

What financial reports should a small contracting business track monthly?

At minimum, track monthly revenue, outstanding accounts receivable (unpaid invoices), and cash actually collected, since these three together reveal cash-flow problems that a profit-only view can miss.

Useful monthly reports for a small contracting business:

  • Revenue by month — what you invoiced, to spot seasonal trends
  • Accounts receivable aging — what's unpaid, broken out by how overdue it is
  • Cash collected — what actually landed in your bank account, separate from what was invoiced
  • Job profitability — revenue minus direct costs per job, to see which types of work are actually worth doing

Tracking revenue alone can hide a growing cash-flow problem if receivables are piling up faster than they're being collected — pairing revenue with an AR aging view is what actually surfaces that risk early.

BCTM's reports dashboard shows revenue, outstanding AR, and payment history together, giving a monthly view of both what you've billed and what's actually been collected.
